Last updated: 12 October 2026

We collect as little as we can, use it only to run our programme and services, and never sell it. This page explains exactly what we hold, why, and how you can control it.

01Who we are and what this covers

Botwing Labs ("we", "us") is a robotics and STEM education company based in Mansarovar, Jaipur, Rajasthan, India. We run a hands-on robotics programme for school-age learners, support students and school teams preparing for competitions, and provide hardware prototyping and product-development services.

This policy applies to personal information we collect through www.botwinglabs.com, our enrolment form, our enquiry and contact channels, and in the course of delivering our programme and services. It is written to meet the Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000 and its rules.

02Information we collect

We only collect information you or your school give us directly. Depending on how you contact us, this may include:

  • Learner details: name, class or grade, age band and school, so we can place a child in the right level and group.
  • Parent or guardian details: name, phone number and, where given, email address, for enrolment, scheduling and emergency contact.
  • School or organisation details: institution name, contact person and role, for school programmes and team competition support.
  • Enquiry details: the competition or event, deadline, project description, hardware or product idea, and the kind of support you are looking for.
  • Programme records: attendance, level progress, project notes and safety-briefing acknowledgements, kept to run the programme and support the learner.
  • Correspondence: messages you send us on WhatsApp, by phone or by email.

We do not collect payment-card details on this website. We do not collect government ID numbers, biometric data or precise location data.

03How we collect it

  • Enrolment form: the "Enroll now" button opens a Google Form hosted by Google. Responses are stored in our Google Workspace account. Submitting the form is an application, not a confirmed place; we use the details to contact you about batches, schedules and fees.
  • Contact and enquiry forms: these do not store anything on our servers. They open WhatsApp on your device with a message pre-filled from what you typed. Nothing is sent until you press send in WhatsApp.
  • WhatsApp and phone: conversations on WhatsApp are governed by WhatsApp's own terms and privacy policy in addition to this one. Phone calls are not recorded.
  • In person: during classes, Tinkering Lab sessions and competition or prototyping work we may record attendance, progress and project details.

04How we use your information

We use personal information only for the purposes you would reasonably expect from a learning and engineering service:

  • To respond to enquiries and applications and to confirm a place, batch and schedule.
  • To run the robotics programme: grouping learners by level, planning sessions, tracking progress and giving Tinkering Lab access to enrolled students.
  • To keep learners safe: emergency contact, supervision records and safety briefings.
  • To plan and deliver competition support and prototyping or product-development engagements that you have asked for.
  • To send you information about your enrolment, schedule changes, lab hours and the next level or batch.
  • To improve our lesson material, hardware and teaching based on how sessions go.
  • To meet legal, accounting and tax obligations.

We do not sell personal information. We do not use it for third-party advertising, and we do not build advertising profiles.

05Children's information

Our programme is for school-age learners. We collect a child's details only from a parent, guardian or school, and only what we need to run the programme safely and well. By enrolling a child, the parent or guardian confirms they have the authority to share that information with us.

Photos or videos of learners and their projects are taken only with explicit permission from a parent or guardian, and are shared publicly (for example on our Instagram) only with that permission. You can withdraw permission at any time and we will stop using the material going forward.

We do not use children's information for marketing, tracking or profiling.

06Who we share it with

We share personal information only when needed to operate, and never for others' marketing:

  • Service providers that help us run the business: Google (forms, email, document storage) and WhatsApp (messaging). They process data under their own policies and our instructions.
  • Competition organisers, only the entry details you ask us to submit on your behalf.
  • Schools, where a learner is enrolled through or by their school, for attendance and progress reporting.
  • Authorities, where disclosure is required by law, a court order or to protect someone's safety.

If we ever change ownership, personal information would transfer with the business under the same protections, and we would tell you.

07How long we keep it

  • Enquiries that do not lead to an enrolment or engagement: deleted within 12 months of our last contact.
  • Enrolment and programme records: kept while the learner is enrolled and for 3 years after the last level completed, so returning learners can pick up where they left off.
  • Competition and prototyping project records: kept for the duration of the engagement and for 3 years after, for warranty, hand-over and reference.
  • Accounting records: kept for the period required by Indian tax law, currently 8 years.

You can ask us to delete your information sooner; see Your rights below. We may keep a minimal record where the law requires it.

08How we protect it

Personal information is held in access-controlled Google Workspace accounts protected by two-factor authentication, and in WhatsApp on team devices with screen locks. Only team members who need the information to run the programme or an engagement can access it. We do not store personal information on this website's servers.

No system is perfectly secure. If we learn of a breach affecting your information, we will tell you and the relevant authority as required by law.

09Cookies, storage and analytics

This website does not set cookies. Your light or dark theme choice is saved in your browser's local storage and never leaves your device.

We do not run advertising trackers or third-party analytics. If we add analytics in future, this policy will be updated to say exactly what is collected and how to opt out.

Images and fonts are served from our own domain and Google Fonts; Google may receive your IP address when fonts load, as described in Google's privacy policy.

10Your rights

You can at any time:

  • Ask what personal information we hold about you or your child.
  • Ask us to correct anything that is inaccurate or out of date.
  • Ask us to delete your information, subject to records we must keep by law.
  • Withdraw consent for photos, videos or marketing messages.
  • Ask us to stop contacting you.
  • Raise a grievance about how we have handled your information.

To exercise any of these, message us on WhatsApp or call +91 83021 28264 (7 days of the week, 9am to 9pm). We will respond within 30 days. If you are not satisfied with our response, you may complain to the Data Protection Board of India.

11Changes to this policy

We may update this policy as our programme, services or the law change. The date at the top shows the current version. Significant changes will be announced on this page and, for enrolled families, by message.
